Here we have tried to answer frequently asked questions from our coaches.

  • Why can't I enter the members area of the site?
    Once you have registered for aim-you, we need to grant you access to the coach's corner. If this has not been done, please contact us ASAP.
  • How do I get paid?
    We will send you a reminder to invoice us at the end of each month. Please email your invoice, together with your cover sheet listing your bookings to Following receipt of your invoice you can expect payment by bank transfer in 7 working days. Late invoices will incur additional delays in payment.
  • There's a problem with my payment. What do I do?
    Please let us know as soon as possible if you feel there is a problem with your payment. Contact
  • What is the cancellation policy for clients?
    Cancellation/Rescheduling by a client in under 48 hours will result in a 50% payment to you and the session being deducted from the client’s allowance. Cancellation/Rescheduling by a client in under 24 hours will result in a 100% payment to you and the session being deducted from the client’s allowance.
  • What is the cancellation policy for coaches?
    Cancellations by you must be managed via direct email contact with the client and a cancellation/reschedule request via OnceHub’s portal (by finding the session in your scheduled meetings list and clicking the cancel/reschedule icon). Cancelled appointments must also be notified to the aim team, via email. NB: More than 20% of planned sessions being cancelled with under 48 hours’ notice will result in the client being offered a different coach to continue the work (this equates to 2+ for a 6 session contract or 3+ for a 12 session contract).
  • Do I need to use Zoom or could I use another video calling app?
    Zoom is our preference as it is a proven and stable platform that syncs with our scheduling software, OnceHub. Costs for your use of Zoom for group coaching as an Aim Affiliate Coach are covered by Aim.
  • How do I set up a Zoom account?
    To set up your Zoom account – follow the instructions in our video. Written instructions can also be found on our website.
  • How do I link my calendar to the OnceHub scheduler?
    To link your current online calendar, follow the instructions in our video. Written instructions can also be found on our website, in the setup page.
  • Who should I talk to about a client's reference to whistleblowing?
    If a client raises any whistleblowing concerns, please contact the Director of Aim -
  • How do I recommend a friend?
    If you have a colleague who may be interested in joining us as an Aim Affiliate Coach then please ask them to complete the Expression of Interest form on our website (the link is on the top right of our front page)
  • I’m not getting enough bookings. Why aren’t you referring clients to me?
    There are numerous reasons for this: 1. you may be new to the team and so needing a slow induction. 2. your available times may not be lining up with the times that clients want. 3. you may have joined us in a period where all existing work is already booked to coaches, and new new work is in contracting. If you are concerned that you are not getting bookings, please contact us and we will try and understand this with you.
  • How is contact time recorded?
    It is up to you to monitor your contact time and ensure that each session keeps to the scheduled times. We will not reimburse you for unplanned, unscheduled, extended sessions. After each coaching session, please complete your cover sheet [template] and send this to us when you submit your invoice at the end of the month.
  • Do I have to attend the CPD sessions?
    CPD is essential to our approach and a component of your own ongoing professional development. Our model is ever changing and informed by evidence and research. Online options will be available for those who don't access the CPD live. This access will have an accompanying quiz to assess your knowledge and to assure us of your attendance.
  • Are coffee mornings compulsory?
    No, these are optional. Spaces to explore your own reflective practice with peers - supported by an aim coach.
  • Why is participation in the Supervision Group compulsory?
    Supervision is at the heart of our high governance approach. We are able to reassure clients that our coaches are exploring the quality and impact of their work in an appropriate supervision space. It is also important for us to maintain an ongoing relationship with coaches, to look out for developmental need alongside the demands of our services.
  • How do I book into an online group (coffee, CPD, supervision)"
    The links will be emailed to you monthly and also listed in the members area of our website.
  • I have a technical problem with the booking software

  • How do I cancel / reschedule an appointment?
    Please log in to OnceHub and select the appointment from your activity list. You will then see a cancel\reschedule option on the menu in the right pane. Click here to continue.
  • How do I edit my calendar availability
    To change recurring availability (e.g. coaching clinics): Log into Select Setup Select your name Click on calendar availability on the left. (detailed instructions here) To block book any time - to close off coaching bookings: Simply block book the time in your own digital calendar, which is linked to Oncehub.
